Being the office manager or team administrator is not an easy job.

This is partly because whoever your line manager is you may feel that you are accountable to everyone.

Your responsibility is essentially to make sure that the office runs smoothly on a practical level, but that won’t stop the lazier members of the team interpreting your job title as ‘general dogsbody’ and someone who is there to do the work they can’t be bothered to do themselves.

The key to maintaining your sanity and self-respect is by establishing firm boundaries and making those boundaries clear in a friendly but firm manner. Don’t lose your temper or snap if someone asks you to do something that isn’t in your job description – such as photocopy a document - just smile, and politely point out where the photocopier is.

With repeat offenders you may have to have a quiet word in the ear of your line manager. Again, the technique to use here is to say that taking on tasks like these for other members of the team is making you less available to do the work they have requested of you.

That should do the trick.
A really important part of the office manager’s job is to keep track of meetings and be responsible for the meeting tables in the meeting rooms. It may be that different meetings require a different amount of meeting tables or a different layout of office meeting tables.

It is advisable when taking a booking for the meeting room to enquire how many people will need to be accommodated and if there was a particular arrangement required in terms of the office meeting tables.

In general, a circular arrangement allows for everyone to see each other and feel included, though if the meeting is based on a presentation then another arrangement will be required.

In this as with all things, the best office manager will go about their work quietly but diligently, and the best boss will recognise and reward their quiet strength.
